Booking / Invoicing Systems - copying the URL to add to the Enquiry in the CRM

For agents who don't require ATOL certificates because these are supplied by the Tour Operator but require a simple invoicing system we recommend XERO accounting to use with TravelTractionCRM because:

(a) You can restrict access to staff members to create and send invoices / collect payments / add purchase invoices etc. This is one of the most flexible invoicing systems for travel agents there is.

(b) XERO allows you to allocate Tour Operator and Supplier Invoices against Client Sales Invoices, so you can be sure to keep your accounting accurate and ensure all re-chargeable bills are allocated correctly to sales invoices

(c) It is extremely affordable at £24 / month and unlimited users.

(d) You can use XERO for all your accounting as it replaces SAGE and other accounting systems.

XERO + TraveltractionCRM = a complete enquiry / quote / email marketing & booking system which only costs £44 for one user + £20 per additional user. It is exceptional value for money.

For agents requiring the need to create and supply ATOL certificates and require a booking engine to create these they can of course use any booking system - Traveller, e-trip etc. and link these to the CRM.  

For the purposes of this tutorial, we have used XERO to show you how to add an invoice link to your CRM

1. To link to the CRM you will need to copy the URL of the invoice page and add to your Client Enquiry Record in TravelTractionCRM

In this example we have taken the URL from the invoice page in XERO and copied it to the CRM field. 

The Result of this will be that in your Enquiry Listing - you will be able to easily see your Booked Enquiries that have been invoiced, and a link to the invoice. Only users that have access to your booking / accounting system will be able to view the link and will need to be logged in to do so.

More XERO Information

For those agents not requiring a full blown ATOL Certificate generating booking system, XERO will almost certainly provide the functionality required.

1. Add a Re-Chargeable Expense and allocate to a client

2. Link this supplier invoice to your Client's sales invoice. When you create an invoice / or edit an existing client invoice in XERO, you are notified that there are billable expenses that can be linked to the invoice.

You can change the description of the billable expense or hide the billable expense from client view, but in your accounting system you will be able to see what bills have been allocated against a client invoice.

3. Manage all payments ( your client can even pay via a link in an email), reconciliations etc. within XERO

4. View at a glance in TravelTractionCRM all Booked Enquiries that have been invoiced.
